Job Title : Microsoft Dynamics Licensing Specialist


Job Purpose :


The Microsoft Dynamics 365 Licensing Specialist is responsible for managing, tracking, and optimizing the organizations Microsoft Dynamics 365 software licenses. The role ensures full compliance with licensing agreements, reduces unnecessary licensing costs, and supports the Business Systems team in simplifying and standardizing security roles within Dynamics 365.


Job Context :


As a key member of the Business Systems team, the Licensing Specialist works closely with cross-functional stakeholders to ensure that all usersnew and existingare accurately and appropriately licensed. The role also collaborates with the D365 functional and technical teams to ensure user security roles align with daily job activities and fall under the most cost-effective license category.


This position has no direct reports and no direct financial authority, but significantly influences the overall cost of Microsoft Dynamics 365 operations.


Reporting To : D365 Solution Architect Technical


Key Accountabilities :


Licensing Management & Compliance :


- Manage and administer Microsoft Dynamics 365 licensing agreements across the organization.


- Ensure full compliance with Microsoft licensing terms, conditions, and audit requirements.


- Conduct periodic reviews and audits of license consumption to identify underutilized or misallocated licenses.


- Maintain accurate and up-to-date licensing documentation and usage records.


Optimization & Cost Management :


- Analyze license utilization and recommend optimization strategies to reduce cost.


- Provide expert guidance on Microsoft licensing options, models, and subscription types.


- Collaborate with department heads to recommend the most cost-effective licensing solutions for their teams.


- Identify opportunities to consolidate or redefine user roles to achieve lower licensing costs.


Role Management & System Alignment :


- Develop standardized, simplified, and scalable security roles within Dynamics 365 based on user responsibilities.


- Ensure that user roles align with the appropriate license types and daily operational requirements.


- Work with the Business Systems team to validate and update security role assignments.


Procurement Coordination :


- Collaborate with IT and procurement teams to manage license renewals, additions, and modifications.


- Ensure purchase orders for Dynamics licenses comply with procurement policies and approval processes.


- Verify that newly purchased licenses are correctly applied to user profiles.


Stakeholder Engagement & Support :


- Serve as the internal subject-matter expert on Microsoft licensing and subscription models.


- Communicate licensing changes, updates, or impacts to relevant stakeholders.


- Provide user support and training related to licensing policies, role assignments, and system access.


Continuous Learning & Market Awareness :


- Stay updated on Microsoft licensing model changes, product updates, and new offerings.


- Monitor industry trends and best practices to enhance licensing management strategies.


Qualifications, Experience & Skills :


Minimum Qualifications :


- Bachelors degree in Information Technology, Computer Science, Business Systems, or related discipline (preferred but not mandatory if experience is strong).


Experience :


- Proven experience managing Microsoft licensing, especially Microsoft 365 and Dynamics 365 environments.


- Strong understanding of Microsoft Volume Licensing, CSP subscriptions, and SaaS licensing models.


Technical & Functional Skills :


- Good understanding of Dynamics 365 security roles, user access, and environment setup.


- Strong analytical ability and attention to detail.


- Proficiency with Excel, reporting tools, and license management dashboards.


- Strong communication, coordination, and negotiation skills.
