Role : Senior PMO Team Lead 15+ years, Pune/Mumbai.

Position Overview :


We are seeking an experienced Senior PMO Team Lead with 15+ years of project governance, client-facing PMO operations, and team leadership experience.

The ideal candidate will lead a team responsible for project gating & control, Clarity administration, Jira administration, user access governance, mailbox monitoring, and executive reporting/dashboarding.

This role requires strong leadership, operational rigor, and exceptional client management skills, ensuring seamless engagement, communication, and service delivery for our client stakeholders.

Key Responsibilities :

Leadership & Team Management :

- Lead, mentor, and manage a PMO operations team, ensuring consistent, high-quality delivery across all PMO functions.

- Set team goals, oversee performance, and manage capacity planning and workload allocation.

- Foster a culture of accountability, continuous improvement, and service excellence.

Client Management & Stakeholder Engagement :

- Serve as the primary PMO operations point of contact for client stakeholders.

- Build strong client relationships, understand business needs, and ensure PMO services align with client expectations.

- Manage escalations, conduct regular status reviews, and provide proactive updates and insights.

- Ensure timely issue resolution and maintain high client satisfaction levels.

PMO Governance & Project Controls :

- Oversee project gating, lifecycle governance, and adherence to PMO processes and compliance standards.

- Ensure quality of project documentation, governance artifacts, and audit readiness.

- Track and report on portfolio-level compliance, risks, and delivery health.

Tool & Platform Administration :

- Manage Clarity PPM administration including project setup, structures, allocations, timesheets, and workflows.

- Oversee Jira administration, including workflow configuration, permissions, boards, and tool optimization.

- Maintain data accuracy, enforce standards, and drive best practices across PMO tools.

User Access Management :

- Govern user provisioning, deprovisioning, and periodic access reviews for Clarity, Jira, shared mailboxes, and associated systems.

- Ensure compliance with internal security standards and audit requirements.

Operational Support & Monitoring :

- Oversee PMO shared mailbox operations ensuring timely triage, responses, and SLA adherence.

- Act as escalation point for tool incidents, operational issues, and process gaps.

Reporting & Dashboarding :

- Lead creation and enhancement of dashboards, KPIs, metrics, and executive-level reporting.

- Ensure accuracy, consistency, and automation across reporting workflows.

- Provide insights and trend analysis to support client leadership in decision-making.

Continuous Improvement :

- Identify operational inefficiencies and drive enhancements to PMO processes, reporting, and tools.

- Lead initiatives aimed at increasing PMO maturity and operational excellence.

Qualifications & Experience :

- 15+ years of experience in PMO operations, governance, and portfolio management.

- 57+ years of team leadership experience in PMO or program operations roles.

- Mandatory hands-on experience with Clarity PPM and Jira administration.

- Strong understanding of project lifecycle governance, gating controls, and PMO standards.

- Advanced skills in reporting and dashboards (Excel, Power BI, Tableau, or equivalent).

- Experience in user access management processes and compliance frameworks.

- Proven ability to manage client relationships, lead discussions, and handle escalations effectively.

Mandatory Certifications :

- PMP (Project Management Professional) Required.

- ITIL Foundation Good to have.

- Agile Certification (CSM, SAFe Agilist, PMI-ACP, or equivalent) Good to have.

(Additional PMO, Agile, or tool-specific certifications are a plus.

Soft Skills :

- Strong client management and stakeholder communication skills.

- Excellent leadership, negotiation, and conflict-resolution abilities.

- High attention to detail and strong process orientation.

- Ability to work under pressure and manage multiple priorities concurrently.

- Analytical mindset with a continuous improvement focus.
